Booking Terms and Conditions
Booking Terms and Conditions for OCEAN COTTAGE, FERRING
This is a legally binding Booking Contract. Please ensure you read and fully understand these Booking Terms and Conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.
Bookings are made subject to the following Terms and Conditions:
§ The named individual making this booking is the Lead Guest and is staying at the property for the duration of the booking - no third party bookings are accepted. The Lead Guest is responsible for ensuring that all members of the holiday party accept and adhere to these Terms and Conditions.
§ References to “you”, “your” and “guest” or “guests” are references to the person making the booking (the Lead Guest) and all members of the holiday party.
§ A non-refundable 25% deposit of the holiday cost is payable at the time of booking. Bookings made less than six weeks before your arrival date must be paid in full, including the £350 refundable security deposit.
§ A Booking Contract between you, the guest/s, and us, the Property Managers, will come into existence when the full deposit payment is received and cleared through the banking system. Until this time, any booking made is provisional and can be cancelled at any time without prior notice. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.
§ The balance, including the £350 refundable security deposit, must be paid no later than six weeks before your arrival date. If the balance is not received by the due date, then your holiday will be treated as cancelled by you and you will remain liable to pay the balance of the accommodation charge in accordance with the Cancellation Policy contained in these Terms and Conditions. Please be sure to note the due date as reminders are not routinely issued.
§ Bookings cannot be accepted from persons under eighteen years of age.
§ The Property Managers reserve the right to refuse a booking without giving any reason and to refuse entry to anyone, who in the Property Manager’s opinion is not suitable to or capable of taking charge of the property.
§ A completed booking form detailing the guests on the booking and their nationality must be received no later than 14 days before your arrival date, or within 24 hours of booking if booked within 14 days of arrival. Passport details are required for any guests who are not British, Irish or Commonwealth and a photographic ID document with the given address is required for the lead booker. If this is not received by the due date, then your holiday will be treated as cancelled by you and you will remain liable to pay the balance of the accommodation fee in accordance with the cancellation policy.
§ Dogs may only be included in a booking if detailed on the booking form and if the lead booker agrees to the dog policy – see below.
§ For stays over 28 nights, the lead guest must sign a serviced accommodation license agreement no later than 14 days before your arrival date, or within 24 hours of booking if booked within 14 days of arrival. This is in addition to the booking form.
Cancellation Policy
§ All cancellations must be notified to the Property Managers in writing and emailed to oceancottageferring@gmail.com. If you cancel your holiday more than 6 weeks before your arrival date then your deposit will be forfeited. If you cancel less than 6 weeks before your arrival date, then the full balance remains due and is not refundable.
§ If your arrival will be delayed past the check-in window advertised, you must contact us so that alternative arrangements can be made. If you fail to do so you may not be able to gain access to the property.
§ If you fail to arrive by midday on the day after the arrival date and you do not advise us of your anticipated late arrival we will treat the booking as having been cancelled by you and we shall be under no obligation to refund you.
§ The guest may in no circumstances re-let or sublet the property or allow anyone other than those listed on the booking form to enter the property for any purposes. The maximum number of persons using the accommodation at any time must not exceed 4 persons. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.
§ Kindly note that the front entrance area is monitored by ring cameras to encourage compliance with these terms.
§ We strongly advise that you take out comprehensive travel insurance to cover cancellations, travel delays, loss and damage to baggage and other property and health insurance to cover each member of your party. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation or other event.
§ Your booking will not be cancelled by the property managers other than in exceptional circumstances. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us. No compensation or consequential losses shall be paid
§ The Property Managers are not responsible for the loss of or damage to any personal belongings or valuables of the guest. Vehicles and possessions are left entirely at the risk of the guest.
§ Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The guest accepts that no refunds are available for any such discrepancies.
§ Arrival time is normally from 4pm unless otherwise agreed and guests are required to vacate the property by 10am on the day of departure. This is to allow the accommodation to be thoroughly cleaned and prepared for incoming guests therefore late checkouts will be chargeable at a rate of £25 for every 15 mins or part thereof.
§ We would like to think that guests would treat the property as they would their own home and leave the property in a clean and tidy condition at the end of their stay. The Property Managers reserve the right to make an extra charge to cover additional cleaning costs if the property is not left in a similar condition to the way it was found at the start of their stay.
§ Damages and breakages – please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there have been any breakages or damage during your stay, this should be reported promptly to the Property Managers, and before the end of your stay. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage.
§ Security deposit – In making a booking you accept responsibility for any theft, breakage or damage caused by you or any member of your party and agree to indemnify us in full for any loss that we may incur as a result. The security deposit of £250 will be returned within 7 working days of the end of your holiday, less the cost of damage/breakages, missing items or additional cleaning required or any breaches of the house rules as notified to you in the property advert, displayed at the property and contained in these Terms and Conditions.
You agree to comply with the House Rules as follows:
- Bookings cannot be sold or transferred. No parties / events or additional guests at the property - only those named on the booking may be in any part of the property or grounds at any time
§ No pets or illegal substances / activities inside or outside the property
· Strictly NO smoking / vaping in the property or grounds, except in the dedicated outdoor smoking area on the raised patio at the end of the garden. The ashtray provided must be used and emptied into the metal ash bin at the end of your stay
· No burning of candles or other flammables in the property or grounds – this includes fireworks, Chinese lanterns etc
· No charging of EVs other than via the dedicated EV charger – this poses a fire risk and constitutes energy theft
· No e-bikes or scooters and no large electrical appliances (like fans, air conditioning units or cooking appliances) are to be brought to the property
§ All windows must be closed and doors / gates locked whenever you go out and the property’s front door must be kept closed AT ALL TIMES
Anyone found to be in breach of any of the above conditions will be asked to leave immediately without refund and having forfeited their security deposit.
· Please leave the property in good order - dispose of rubbish in external bins (recycling in blue lid bin) and wash up and put away any kitchen items used. Please leave the bar as you found it. When you leave, please lock the front door and put the key in the post box
· Check out is 10am to allow time to prepare the property for the next guests, therefore late checkouts will be chargeable at a rate of £25 for every 15 mins or part thereof
§ Charges apply for lost or damaged keys and guests would be responsible for locksmith call out fees.
You further agree to:
§ Keep and leave the property and the furnishings, including items such as kitchen equipment, crockery and glasses, clean and in good condition.
§ Switch off lights, heating and any electrical appliances when you go out – we’re an eco-friendly holiday home.
§ Respect the community and keep noise levels to a minimum, especially between 10 pm and 8am.
§ Allow us or our representatives access to the property at any reasonable time during your stay to undertake essential maintenance, in an emergency or if necessary to ensure that you are complying with these terms and conditions.
You further agree NOT to:
§ Cause any damage to the walls, doors, windows or any other part of the property nor to do anything which may be reasonably considered to be a nuisance or annoyance to us or to any other occupier of adjoining or neighbouring properties.

§ Move any furniture from one room to another.
or
§ Take any bath towels with you to the beach.
§ Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.
§ No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service.
§ We reserve the right to terminate a holiday without compensation where the behaviour of the persons named on the booking (or their guests) is considered by the property managers to be unreasonable or may impair the enjoyment, comfort or health of others.
§ Check-out – When you leave the property, please lock the front door and drop the key into the post box for our cleaning team to collect.
§ Any problem or complaint which the guest may have concerning their holiday must be immediately reported directly to us and we will endeavour to put matters right as soon as is reasonably possible. Any complaints not reported to us at the time and only reported after the guest has returned from holiday will not be considered by the property managers.
§ Limit of Liability – our maximum liability for losses you suffer as a result of us acting in breach of these terms and conditions is strictly limited to the amounts received by us in relation to your booking. We shall not be liable for any losses which are not a foreseeable consequence of us breaching the booking contract. Losses are foreseeable where they are contemplated by you and us at the time your booking is confirmed by us.
§ Your booking is made as a consumer for the purposes of a holiday and you acknowledge that we will not be liable for any business losses howsoever suffered by you.
§ Law and jurisdiction – this booking contract (including any non-contractual obligations arising under or in relation to this booking contract) between you and us is governed by the law of England and Wales and we both agree that any dispute, matter or other issue which arises between us will be exclusively dealt with by the Courts of England and Wales.
§ If at any time any part of this booking contract is held to be unenforceable, for any reason under any applicable law, that part shall be deemed omitted and the enforceability of the remaining parts shall not in any way be affected by that omission.
§ This Booking Contract contain the entire agreement between us and you relating to the booking and shall supersede any previous agreements, arrangements or discussions between you and us, whether oral or in writing. No representation, undertaking or promise shall be taken to have been given or be implied from anything said or written in negotiations between you and us prior to receiving the confirmation email except as expressly stated in these Terms and Conditions. Neither you nor us shall have any remedy in respect of any untrue statement made by the other upon which that party relied in entering into this Booking Contract (unless such untrue statement was made fraudulently) and that party’s only remedy shall be for breach of contract as provided in this Booking Bontract.
§ We will not be in breach of this Booking Contract, or otherwise liable for any failure or delay in performance, arising from any circumstances beyond our reasonable control including, without limitation, flood, fire, explosion or accident.
§ We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
OCEAN COTTAGE, FERRING
Dog Policy
We love dogs - we have 2 Cavapoos ourselves - and Ferring is an incredibly dog friendly place; other than a couple of restaurants, you can pretty much take your dog everywhere with you, so we love to welcome our guests’ pooches alongside their humans.
We do, however, have to be factor in the need to maintain the condition of the property for all guests, amount of work and turnover times for our cleaners and consideration for our neighbours so we need to have a dog policy. If you would like to bring a dog, please read and check you are happy to abide by our dog policy before you book.
DOG POLICY -
- We accept one medium dog up to 20kg or 2 small dogs up to 10kg each. (If you would like to bring more or bigger dogs, please contact us BEFORE booking.)
- We only accept dogs that are over 12 months old and fully house trained as well as kept flea and worm free.
- If bringing a dog, please bring your own throws to protect furniture and a towel for your dog to clean / dry them after walks, and do not leave your dog unattended in the house or garden at any time.
- If you would like your dog to share your bed, please let us know and bring your own bedding (Dog hair on our bedding will forfeit your damage deposit)
- Guests are asked to check the gardens thoroughly to ensure they have fully cleaned up after their dogs before they leave – the cleaners will charge a fine of £50 if they have to pick up dog poo.
